PromptPM's help system

Hi, I am Cheenu Tyagi, PromptPM's team member working on the user help system. Before our development team started the countdown of beta launch, we started evaluating various presentation techniques for the PromptPM help system. The challenge was to design a system that would cater to the needs of hundreds of users from various industries across the globe that would use PromptPM for their project management initiatives.

We conducted surveys, talked to experts and conducted interviews with people working with the various industries to discuss what kind of help they would expect when they use a project management system for the first time.

The ideas slowly and surely turned into the design and architecture of the help system. As of today, we have compiled two forms of help, a Frequently Asked Questions (FAQs) about each screen and the general contents and index. In the weeks ahead, we would be completing the startup help that would configure itself based on the expected user profile and guide the user through the application.

Good to go

Early this week I met the dev team of PromptPM. The team was euphoric in confidence after initial responses to the beta release. However, a dedicated team for testing and debugging is making sure that the final release meets your expectations without any inconsistencies.

The final release is shaping up very well and it would see the light of the day in coming weeks. Along with the product, we are also working very hard on compiling comprehensive help and support resources for PromptPM.

I'm sure, coming weeks would be exciting for the team as well as you.

QA Strategy Tool, PromptPM Project Management System

Hi, I am one of the team leaders at PromptPM and responsible for developing ‘Quality Assurance’ module. What good is a project management system without proper quality assurance tools in place, right? I strongly believe that Quality Assurance process is the key to the success of a project team and the results of the quality assurance process should not only improve the quality of the project in hand but should also help in building standards and other guidelines for the future projects.

The PromptPM architect team always believed that the quality checks introduced at the planning phase of a project have the ability to reduce the defects in the final product. Essentially the upfront ground work on the Quality check points has the potential to not only prevent the costly rework at the later stages but also reduce the chances of time/cost escalations.

That’s the reason we developed a tool that would allow users to create quality check points at all levels. You can create and perform a quality check of the project plan, for each milestone, deliverable or a critical task.

PromptPM provides the QA managers with the Project plan and the other project documentation that they would need in order to create effective QA checkpoints. Once the QA strategy is in place then the execution team can use the QA strategy to repeat the tests as often as desired and the system automatically compiles and analyzes the results for the senior management.

Value for clients, employees and shareholders

Today, August 21, 2006, I officially launch the PromptPM beta site. When I think about PromptPM, I don't think of it as a project management system. To me, project management is just a part of the larger schema of things in an organization so as long as PromptPM's focus is towards serving shareholders, serving clients, and serving employees then I am a satisfied person.

"Serving Shareholders" may sound strange, as an appropriate Project management term is "Serving Stakeholders" but to me the project is most successful when all the benefits realized to stakeholders can be passed on to the organization shareholders.

So the first principal of design being followed at PromptPM is how the success of a project translates to the success to the shareholders, clients and the employees of an organization. Once you had a chance to work through the PromptPM system, available at www.PromptPM.com, demo or the trial version, you would see that we have designed various methods that would help the team create and deliver this value for the Organization.

A simple example is the organizational knowledgebase created by PromptPM that would reduce the support cost of projects and would become a repository for the design and development for the future tools.

In the next couple of weeks I'll share with you other areas designed in Prompt that will translate the success to the Shareholders, clients and employees.

We're getting closer!

Yes we are. Tomorrow it is. The public beta of PromptPM would be released for you to try and explore. Whether you are a Project Manager, Analyst, or hold any other responsibility in the hierarchy of your organization's project or operations, you would simply thank us for helping you manage (a small word, with a big implication) your tasks and resources, collaborating with your team, building an organizational knowledge base and keeping all the stakeholders satiated.

I'm not asking you to believe me without reason and flash your credit card right away. But yes, I'm taking the liberty to claim that adopting PromptPM would help you to achieve results and improve efficiency within your organization. I'm no self-obsessed individual to make these tall claims. This comes from the confidence that I have in PromptPM's design, feature set, flexibility and the application as a whole.

My team calls me Abby (my friends, mum and dad as well) and I'm responsible for maintaining this blog as well as other web initiatives of PromptPM. I would also be the guy to answer your call for corporate presentations and evangelism. In short, I do everything that our developer team does not ;) But I'm good friends with them. So, if you leave any feedback for them, be assured I'll pass it across.

I guess I would hit the publish button now. Keep hooked to hear from our CEO in the next post. Also, I've asked our devs to post about their responsibilities and inside scoops of their modules and how they've shaped up in the product.

PromptPM's design approach

It’s decided, PromptPM Beta will be launched on August 20th 2006. As a senior member of the design team I am excited to highlight its features for you but before I start digging into features I should highlight the PromptPM's design team's composition and their contribution as this team guided the present of PromptPM and is working hard to shape its future.

Our challenge was to design a product that would benefit an organization by implementing the ideal project management methodologies while keeping the day to day execution of activities simple. In order to achieve this objective, we started with two design teams, “Team Wizards” and “Team White Hats”. The first design team, "Team Wizards", was responsible for designing the best practices that should be used in a Project Management environment. This team would prepare their recommendations based on the project management body of knowledge, project management blogs, literatures and other information sources. This team would also survey people from various industries, so that Prompt PM could play well in different industry scenarios.

The second team, "Team White Hats", had project managers who had handled multiple projects worth millions of dollars with global teams in a multilingual and multicurrency environment. "Team White Hats" was responsible for bringing best practices based on their practical experience. This team studied the recommendations from the "Team Wizards" and both the teams would collectively decide on the path forward. As you can probably guess how much fun these meetings were :)

This was a brief background about the design teams. Of course the project would not have completed without the tireless efforts of the development and the Quality assurance team. On the technical side, PromptPM provides a lot of features in a single application, Project Planning, Resource Planning, Team Calendars, Task Management, Web Timesheet, Risk Management, Client Relationship Management, Custom Security Designer, QA Strategy Builder, Issue Tracking, Meeting manager, Idea Organizer, and the list goes on. We have presented the details of each feature on our website. Here we are...

Finally, here we are! After months of digging in, arguments and agreements, several cup of coffee and yeah some coding too ;)… PromptPM is here.

Let’s dive in a li’l further.
